The short version

FixCounter is a point of sale and back office for repair shops: sales, repair tickets, stock, staff rosters and the end-of-day close. The shop that uses FixCounter decides what goes into it and owns that information. We (FelixRay Pty Ltd) store it on servers in Sydney, Australia, keep it safe, and use it only to run FixCounter for that shop and to help when the shop asks for support. We don't sell it and we don't use it for advertising.

What we hold

About the business using FixCounter: the owner's name, email and mobile, the business name and ABN, store addresses and opening hours, the chosen plan, and later the billing details (held by our payment provider; we never see full card numbers).

About the shop's staff: names, the stores they work at, their PIN (stored scrambled, not readable by anyone), shifts and hours worked, and which sales or repairs they handled.

About the shop's customers: only what the shop types in when it sells or books a repair: usually a name, a mobile number or email, the device and the fault, and the receipt. A phone sold through FixCounter keeps its IMEI on the record for the warranty.

About stock and sales: products, prices, costs, suppliers, stock counts, orders and day-end reports.

From the mobile app: the camera is used only to read barcodes on the screen in front of you; we don't keep photos unless you add one on purpose (for example a photo of a faulty part). If you allow notifications, we keep a device token to send them.

What we use it for

To run FixCounter for the shop: take sales, track repairs and stock, print receipts and labels, make orders and reports, and send the messages the shop asks for (for example a receipt or a "your repair is ready" message to its customer). To give support when the shop asks for it ("Remote support"). To keep the service secure and fix faults.

Who else touches it

Hosting is on Amazon Web Services in Sydney (ap-southeast-2). Emails FixCounter sends (receipts, sign-up and reports) go through our email provider, Resend, which is a United States company, so the email's address and content pass through its servers to be delivered. If a shop uses text or WhatsApp messages, those go through the messaging provider that delivers them. We share nothing else, except where the law requires it.

Keeping it and deleting it

The information stays while the shop's account is open. A shop can ask for an export of its data at any time. When a shop leaves, it can take an export, and we delete its data within 90 days, except records the law makes us keep (for example billing records we must keep for tax).

Customers of a shop

If you bought something or booked a repair at a shop that uses FixCounter, the shop is in charge of your information. Ask the shop first; if it can't help, contact us and we will work with the shop on your request under the Australian Privacy Principles.
